Privacy Policy

HaulReady is record-keeping software. It is not legal advice and is not affiliated with FMCSA, USDOT or any government agency.
This policy explains what Rocky Mountain Apps LLC ("we") collects when you use HaulReady at haulreadykit.com and app.haulreadykit.com, and what we do with it.
What we collect
- Account details: your email, a salted hash of your password, and your company name, USDOT and MC numbers and address.
- Records you enter: drivers (names, license and medical card dates), drug and alcohol test records, trucks, maintenance and inspection records, loads, fuel, expenses and IFTA figures.
- Files you upload: stored privately in Cloudflare R2 and only served to signed-in users of your account.
- What we do not collect: Social Security numbers (the app refuses them), medical examination details, bank logins or card numbers (Stripe handles payment).
- Technical data: a session cookie to keep you signed in, and IP addresses briefly for rate limiting and abuse prevention. No advertising or tracking cookies.
Public FMCSA data
When you or a visitor enters a USDOT number, we ask FMCSA's public QCMobile service for that carrier's public record and cache the answer for up to 7 days.
How we use it
Only to run the service: show your records, send the deadline emails you have switched on, build your audit packet and exports, bill your subscription, and answer support requests. We do not sell or share your data for marketing.
Who processes it for us
Cloudflare (hosting, database, file storage and email sending), Stripe (subscription billing) and FMCSA's QCMobile API (public carrier lookups).
Your choices
Turn deadline emails and the weekly summary off in Settings or from the link in any email. Download all your data as CSV files plus your uploaded documents at any time. Delete your account from Settings: this removes your records and files immediately (Stripe keeps its own billing records as the law requires).
Your records, your responsibility
You decide what to store about your drivers and are responsible for having the right to store it. Federal rules require you to keep certain records for set periods; deleting them here does not change those obligations. This is not legal advice.
